What AI chatbots and WhatsApp automation can do for a business
A chatbot is a program that holds a conversation. An AI assistant is a chatbot that understands free-text questions and answers from information you provide. WhatsApp automation connects that assistant, or simpler rules, to the channel your customers already use. Together they take on the repetitive part of customer contact so your team can handle the conversations that need judgement.
The jobs they do well
- Answering common questions. Opening hours, prices, delivery areas, requirements and how a process works, at any hour.
- Qualifying enquiries. Asking the three or four questions your team always asks, then passing a complete lead to the right person.
- Booking and reminders. Offering time slots, confirming appointments and sending reminders that reduce no-shows.
- Following up. Nudging a customer who asked for a quote and went quiet, within the rules of the platform.
- Status updates. Telling customers where an order, application or claim stands without anyone looking it up.
- Supporting staff. An internal assistant that finds the right policy or product detail from your own documents.
What they should not do is pretend to be a person, invent answers or deal with sensitive matters without a human. We design every assistant with that line in mind.
Why WhatsApp matters in South Africa
WhatsApp is one of the messaging apps most South Africans already use every day. Customers prefer to message a business in a channel they know than to fill in a form or wait on hold. For many businesses, that makes WhatsApp the natural place for enquiries, quotes, bookings and support.
WhatsApp also has rules. Businesses that message customers through the official WhatsApp Business Platform must have the customer’s permission, use pre-approved message templates to start a conversation outside the customer’s recent contact window, and respect opt-outs. We build within those rules, because accounts that ignore them get restricted and customers lose trust.
What we build
An enquiry and booking assistant
A front-line assistant for your website or WhatsApp number. It answers from your approved content, asks the questions needed to qualify a request, books a slot or logs a lead in your CRM or spreadsheet, and tells you when a person needs to step in.
A customer support assistant
A grounded assistant for repeat questions, with a set of topics it may and may not answer. If it is not sure, it says so and routes the conversation to your team with the context attached.
An internal knowledge assistant
An assistant for your own staff that answers questions from your policies, product sheets and procedures, with references to the source document so answers can be checked.
The workflows behind them
The assistant is only as useful as the systems it connects to. We link forms, email, calendars, your CRM, accounting software and spreadsheets so information is entered once and used everywhere. Our wider AI and business automation page covers these workflows in more detail.
How we keep it accurate, safe and compliant
An assistant that gives a wrong answer with confidence is worse than none. We build in controls from the start.
- Grounded in your content. The assistant answers from material you approve, not from the open internet, and it declines questions outside that scope.
- Clear limits. We define what it may and may not discuss, and write the exact wording for edge cases such as complaints, refunds and anything legal or medical.
- Human handover. A person can take over at any point, and sensitive topics route to a person by default.
- Honest identity. The assistant identifies itself as an automated assistant. It does not pose as a member of your team.
- Consent and privacy. We handle opt-in, opt-out and storage with the Protection of Personal Information Act (POPIA) in mind, and we minimise the personal information the assistant sees and keeps. Where a legal question arises, you should take advice from your own counsel.
- Testing before launch. We run it against real example questions, including awkward ones, and agree where a person reviews before anything is sent or changed.
We also review conversation logs with you after launch and refine the assistant from what customers actually ask.
How a project runs
- Map the work. We follow a real customer journey from first message to resolution, record where time and enquiries are lost, and pick the few steps worth automating first.
- Build and test. We build the assistant and workflows, test them on real examples and agree the handover rules.
- Hand over and improve. Your team is trained to run and adjust it. We review results after the first month and refine what the data shows.
We start small on purpose. One well-chosen workflow, working properly, earns the trust that a wider rollout needs.
What it costs
Prices are in Rand and published. We quote a fixed price after a short discovery call, before any work begins.
| Service | Price | What you get |
|---|---|---|
| AI readiness review and roadmap | R14,500 | Where AI can help, what data and policy you need, and a ranked plan |
| Workflow automation sprint | From R12,500 | One process mapped, automated, tested and handed over |
| AI assistant build | From R25,000 | An assistant grounded in your own content, with clear limits and review steps |
Software subscriptions, messaging fees charged by the platform and third-party costs are separate, and we list them in the quote so there are no surprises. You can estimate the saving first with our free automation ROI calculator.
When not to automate
Automation is worth it where a task is frequent, the rules are clear and the saving is measurable. It is the wrong tool when each case needs judgement, when your process is still changing, or when the real problem is that the process itself is broken. In those cases we will tell you, and often suggest fixing the process or starting with a readiness review before building anything.
Frequently asked questions
What is the difference between a chatbot and an AI assistant?
A basic chatbot follows fixed rules and menus. An AI assistant understands free-text questions and writes answers from information you give it. Many useful solutions combine the two: rules for the steps that must be exact, and AI for understanding what the customer is asking.
Can the assistant work on WhatsApp?
Yes. We connect assistants and workflows to the official WhatsApp Business Platform, within Meta’s rules on permission, message templates and opt-outs.
Will it make things up?
We reduce that risk by grounding the assistant in content you approve, limiting what it may discuss, testing it on awkward questions and sending uncertain cases to a person. No system is perfect, which is why a human handover is always built in.
Can it replace my customer service team?
It is better at taking the repetitive questions than at replacing people. Your team spends less time on routine messages and more on the cases that need judgement and care.
Is it compliant with POPIA?
We design for the Protection of Personal Information Act: consent and opt-out are handled, the assistant sees and keeps only what it needs, and data storage is agreed up front. For legal advice on your own obligations, speak to your lawyer.
How long does it take to launch?
A single workflow sprint is usually a matter of weeks. A fuller assistant takes longer because of content preparation and testing. We agree the timeline in the written plan.
What systems can it connect to?
Most common tools: forms, email, calendars, CRMs, accounting software and spreadsheets. We confirm what is possible for your stack during discovery.
How do I get started?
